Visibility of files and folders

Decide whether all members or only admins can see a file in the Drive.

Not everything in the Drive is meant for everyone. Contracts, internal planning or the choir leadership's notes often need to stay within a small circle. The visibility setting lets you decide per file or folder who's allowed to see it.

Who can change the visibility?

Only the choir leadership and admins can set the visibility. In doing so they also decide what the rest of the members get to see at all.

The two levels

cori knows two visibilities:

  • All members — every choir member sees the file or folder and can download it.
  • Admins only — only the choir leadership and the admins see the entry. For everyone else it's completely invisible: it doesn't appear in the list, and there's no way to tell that it exists at all.

On top of that, individual entries have the Inherit from folder setting. Then whatever is set for the surrounding folder simply applies — that's the default for newly uploaded files.

App only

An entry set to “Admins only” carries a small padlock icon in the Drive, so you can tell at a glance what's restricted.

Setting the visibility

Web app
Open the file's or folder's three-dot menu and pick “Inherit from folder”, “All members” or “Admins only” directly.
Mobile app
Open the three-dot menu, tap “Permission”, choose the level and confirm with “Save”.

Inheritance by subfolders

Visibility works from the top down, and the stricter setting always wins:

  • If a folder is set to “Admins only”, all the subfolders and files inside it are visible to admins only as well — even if an individual entry inside it is set to “All members”. So a restricted folder can't be opened up again from the inside.
  • The other way round, you can set individual files or subfolders to “Admins only” inside a folder that everyone can see.
The easiest route to confidential material

Create a dedicated folder (“Internal”, say), set it to “Admins only” and put everything confidential in there. Everything you add to it later is protected automatically — you don't have to think about each individual file.

Typical cases

  • Contracts, invoices, committee minutes → into an “Admins only” folder.
  • Sheet music, recordings, material for practising → “All members”, so the whole choir can use them.
Visibility ≠ share link

Visibility governs access within the choir. A share link bypasses it: whoever has the link gets to the file, even if it's set to “Admins only”. Use both deliberately.
