Appointments in the 6K practice room

Create, repeat and cancel rehearsals and performances for a 6K group, and see who's coming, in the app and in the browser.

Every group in the 6K practice room has its own calendar. The teacher enters rehearsals and performances, the children accept or decline, and the teacher sees in advance how many to expect. This article covers both sides: creating and answering.

The calendar belongs to the group

You only see the Calendar tab once you've joined a group. Appointments always apply to exactly one group. There are no appointments for all groups in the 6K practice room. Only that group's teacher may create, change and delete them.

Creating an appointment

Open the calendar

In the app, tap the calendar tab at the bottom and then the round button at the bottom right. In the browser, click New appointment in the Calendar tab.

Choose a title and a type

Give the appointment a title and choose the type: rehearsal, performance, event or other. The type determines the symbol in the list.

Set the time

Set the start and, if you like, an end. Without an end, cori only shows the start time.

Set up a repeat

For the weekly rehearsal you set the repeat here; then one entry is enough for the whole term.

Add notes and a location

Notes are the place for whatever the group needs to know, such as things to bring. Via the location you open a map and set the meeting point; the children can later have themselves navigated straight there.

Save

The appointment appears immediately in the calendar of every child in your group, in the app and in the browser.

Without a response is fine too

Right at the bottom of the form there's a switch for whether cori should ask about attendance. Turn it off when a response makes no sense, for instance for a purely informational appointment. Then the question disappears for the children and so does the attendance overview for you.

Accepting and declining

On an appointment's detail page, cori asks every child: “Are you coming?” The options are Yes, Maybe and I can't. The answer can be changed at any time.

In the app it's quicker straight from the list: press and hold an appointment card and a small menu appears with Accept and Decline. For teachers, the same menu also contains editing, cancelling and deleting the appointment.

Who's coming?

As a teacher, the Who's coming overview sits below your own response on the detail page: all the children in your group, sorted by accepted, maybe and declined, each with a symbol and their voice. The three totals are at the top right, at a glance. This works the same way in the app and in the browser.

No answer counts as a maybe

Children who haven't reacted at all appear in the list with a question mark. So a missing answer is neither an acceptance nor a decline. When in doubt, ask, rather than relying on the numbers.

Cancel or delete?

For teachers there are two different actions in the app, and the difference matters:

  • Cancelling leaves the appointment in place but strikes it through visibly and marks it as Cancelled. The responses fall away. That's the right route when a rehearsal is called off, because everyone can see that it's off. The same button restores it later.
  • Deleting removes the appointment entirely. It disappears from every child's calendar without a word.

In the browser you can create appointments and change them via Edit; for cancelling and deleting, reach for the app.

For recurring appointments both affect the whole series

A single occurrence can't currently be taken out in the 6K practice room: cancelling, editing and deleting always affect the entire series. If only one date should be called off, the only current workaround is to announce it in a note, or to set the series up shorter and add the exception as an appointment of its own.
