Cancelling an appointment

Cancel a rehearsal or performance instead of deleting it: it stays visible in the calendar, everyone is notified, and the cancellation can be undone.

Rehearsal is off this week? Then cancel it instead of deleting it. A cancellation stays visible in the calendar, struck through and with a "Cancelled" note, and it notifies all members, but it can be undone at any time. This guide shows the difference and how it works.

Who is allowed to cancel?

Cancelling is for whoever manages the calendar: the choir leadership and admins. The procedure is the same on the web and in the mobile app.

Cancelling or deleting: the difference

Both actions exist on the web and in the app, but they do different things:

  • Cancel appointment: the appointment stays in the calendar, struck through and marked as "Cancelled". All members are notified. The cancellation can be undone later, and any responses already recorded are kept.
  • Delete appointment: the appointment disappears from the calendar completely. All attendance already recorded is removed and the members are notified. This cannot be undone.

In most cases cancelling is the right choice: the choir sees straight away that nothing is happening that day, and the history is preserved. Deleting only makes sense when the appointment was created by mistake and doesn't belong in the calendar at all.

How to cancel an appointment

Open the appointment and edit it

Open the appointment in the Calendar and switch to editing via the pencil icon.

Choose “Cancel appointment”

At the bottom of the form, tap Cancel appointment. cori points out: "All members will be notified."

For a series: choose the scope

If the appointment belongs to a series, cori asks whether only This event only or All events in the row should be cancelled. For a single cancellation, choose "This event only".

The appointment then appears struck through with a "Cancelled" note. In the month grid of the web app its bar also switches to red, whatever appointment type it has, and on its detail page a red "Cancelled" note sits right at the top. The accept and decline buttons for the members are hidden on a cancelled appointment, both in the calendar and on the detail page. After all, there is nothing left to confirm.

Cancelled appointments in a subscribed calendar

Anyone who has subscribed to the cori calendar in Google, Apple or Outlook no longer sees cancelled appointments there. They are taken out of the exported calendar. More on this under Exporting appointments to your calendar.

Undoing a cancellation

Cancelled too early, or is the rehearsal happening after all? Open the cancelled appointment for editing again. The button is then called Restore appointment. That makes the appointment active again and the members can accept or decline once more.
